Delivery Operations Lead (3-Month Contract)

Remote - Middletown, DE

Growth is a system rather than a collection of marketing services, and that belief is what earned Halstead Media Group a spot on the 2026 Inc. 5000 list of America's fastest-growing private companies. We're a Growth Operations partner built specifically for the landscape industry, and our work spans demand generation, CRM, sales process, reporting and the connections between them, so that landscape companies can see how opportunities are created, moved through the pipeline and turned into revenue.

As our contract Delivery Operations Lead, you'll spend the next three months making sure every piece of client work, from websites and paid media to SEO, design, copy and reporting, has an owner, a realistic timeline and a budget that holds, so our team of about 30 can keep delivering at the standard our clients expect. The process and the tools are already in place, so this is a hands-on role for someone who loves bringing order to a busy queue and wants to be routing work and making priority calls from the first week. This position is 100% remote.

Remote - Contract, about 25 hours a week

What you'll do day to day

  • Own the intake queue in Scoro and assign every new task to the right person within one business day, so nothing sits without an owner

  • Match work to people based on capacity, skill fit, priority, dependencies and budget

  • Make sure every task is ready to start, with the brief, assets and approvals in place, before it reaches the team

  • Keep one prioritized delivery queue across every client and department, and be the go-to answer for who is doing what and by when

  • Set and adjust timelines based on real capacity and complexity, and bring tradeoff decisions about what moves, what waits and what gets re-scoped to our VP of Client Success

  • Keep a live view of workload across project management, copy, design, development, SEO and paid media, and rebalance work as priorities and availability shift

  • Track budgeted versus actual hours on active projects and flag anything trending over budget while there's still time to adjust

  • Map handoffs from strategy to copy to design to development to launch, and clear bottlenecks by chasing decisions and re-sequencing work

  • Run a short daily dispatch and triage huddle and a weekly delivery health review that sorts work into on track, at risk and off track, with a clear next action for each

  • Escalate budget overages, timeline risks and blockers early, and stay with them until they're resolved

  • Keep Scoro's statuses, queues and assignments clean, and deliver a weekly report on delivery performance, completed projects with budget versus actual, and timeline status

  • Keep the delivery numbers on our company scorecard accurate and on time

  • Work hand in hand with our Project Managers and department leads on priorities, client commitments, staffing and quality

How you'll know you're doing an amazing job

Every part of our delivery should contribute to the same goals and be measured against them, and this role is how the whole team keeps score.

  • Every new task has an owner within one business day

  • More of our work is delivered within its budgeted hours

  • On-time delivery climbs, and launch dates hold

  • Risks surface early, well before they touch a deadline or a client

  • Weekly and monthly forecasts line up with what actually happens

  • The weekly delivery report goes out on time, accurate and with clear next steps

  • Project Managers and department leads come to you first when priorities collide

  • The team says the queue feels calmer and clearer than it did when you started

What you'll bring

  • Experience running delivery operations, resourcing or traffic management at an agency or professional services firm

  • A love for dispatching and load balancing across several teams at once, and the confidence to make fast prioritization calls

  • Comfort tracking budget versus actual hours and forecasting capacity

  • Hands-on experience with a work management platform such as Scoro, Asana, Monday, Teamwork or Workamajig, with Scoro a strong plus

  • A calm, steady approach when priorities compete, and a knack for simple systems that people actually follow

  • Comfort using AI tools like Claude in your day-to-day workflow

  • Bonus: agency experience
